Hammerhead Swim Team Portal now live!
Attention Parents, this is an important email and read it thoroughly even though it’s long!
The Hammerhead Swim Team Portal (http://huntleyhills.swim-team.us/) is now online!
There is still a lot of work that needs to be done, but for now we're ready to start using it to fill some important needs. You have a few assignments:
Assignment #1 - Login to the Site: We need to make sure all the user accounts are setup correctly. Your login will be the email address where you received this email. The default password for the first use is "hammerheads", of course without the "quotes". You'll need to create a new password and then login with that new password.
Assignment #2 – Verify your Profile: Everyone’s profile was created based on the information you provided when you registered on Active.com. For many of you, you just put minimal information, some didn’t include spouses. Please go into your profile by clicking the Parent Page option under the Actions drop down in the upper right corner of the page (look right below your name). Click on the Update Profile button and make sure your profile is complete and accurate. If you’re feeling good, make sure your children’s profiles are correct too. Use the last icon by their name.
Assignment #3 – Meet RSVP: On this same Parent Page you’ll see an RSVP section. It probably has “Action Required! 5 RSVPs Needed” in Red. Click the triangle to expand the list. Now this is important, so read carefully. If everyone in your family (i.e. all parents and all active swimmers in your profile) are attending a meet, you can RSVP as a group using the Response options (Yes/No/Not Sure). However, if some are attending but others are not, for example one child is away for camp but the other one is swimming, you’ll need to click on the meet name. On the dialog box that opens, use the RSVP option. Here you can select who is attending and who is not. RSVP’s are important because each week coaches will look to see who is attending and who’s not when making the upcoming meet entries. You don’t want to show up to a meet and not have your child swimming any events because you forgot to do the RSVP. Come Sunday night before a swim meet, there should not be any “Not Sure” left on the board.
Special note: Some of you families that been around for a while will notice that some of your children who are not active swimmers anymore, i.e. graduated, still show up on your profile. That’s okay, the group RSVP will not include them because they are not on this year’s team. Even though they may not be active this year they were once members of the Hammerhead swim team and, therefore, have a history of results. When I get around to it, I will be uploading all meet results I have and this goes back to 2004. You’ll be able to see all their old times and such. Cool! Anyone want to wager how long it takes Kim Huckabee to compare Mitch’s times to Chase’s when he was 9, and Sharon’s to Jeanette’s. Sorry Kim, you gotta wait till I get it all uploaded. 
Assignment #4 – Volunteering: Also on the Parent Page, just below the RSVP you’ll see the Volunteer Section. Expand it and please volunteer to work at some swim meets. There is a job for everyone, old and new. Jobs in the action, jobs away from the action. Some in the hot sun, some in the cool air conditioning, at least at our pool. We are asking that each family work 2 sessions, but we’d appreciate more. A session is half a meet. Click the V icon to open up the volunteer list for that particular meet. If you see NEED VOLUNTEER for an entry, click on it and your name will appear. An accurate Profile is handy because I’m sure some of you used a spouse’s email address during registration so now when you click a spot it’s putting the wrong parent in the field. Just manually type in the right parent. Eventually you’ll want to update your profile to make sure emails are assigned to the right parent. Hint, the Login email address should match the person listed in the Welcome greeting in the upper right corner.
That’s all for now. This will be an ongoing tool for the swim team, eventually replacing the Active registration site for starters. We’ll be able to upload meet photos, review team records, and as mention, track the result history of your swimmers. All of which can only be accessed by registered users. The first meet is just around the corner so don’t delay getting your assignments completed.
